Privacy policy
Last updated September 2026. You're handing over information you've been trained never to say out loud — what you charge, your contact details, sometimes tax information. This is what makes that a reasonable thing to have asked.
What we collect
Account and profile. Name, email, phone (if you add it), discipline, positions, bio, credits, a photo if you upload one, reel links, and kit list.
Rates. The day rate or fee range you set for each position and market, plus overtime and kit terms. Whether it's ever shown on your own profile is entirely your choice — see “How your rate is used” below.
Bookings and money. Deal memos (dates, rate, terms) once a producer's offer is accepted, invoices you create, and payment dates you self-report. We don't process or hold the payment itself — see the terms of service for why that distinction matters.
Reviews. The double-blind answers you and the other party submit after a booking, plus an optional public note and an optional private note that only Keylight ever sees.
Tax information. The last four digits of a tax ID and whether a W-9 is on file, if you choose to provide it.
Usage data. Standard server logs and a single authentication cookie that keeps you signed in. Nothing beyond that — no ad trackers, no third-party analytics pixels.
How your rate is used
This is the part we're most careful about, so we'll be specific:
- A position's median never publishes below fifteen submitted ranges. Not ten — fifteen.
- When it does publish, it shows the 25th–75th percentile band and the median only — never the highest or lowest submission, since those are the two rates most likely to identify a specific person.
- Published numbers round to the nearest $25, so a median can't be reverse-engineered against a known set of submissions.
- Your individual rate is never shown next to your name to anyone — not a producer, not another crew member — unless you separately opt in to displaying your own range on your own public profile.
- The detailed rate sheet (kit fees, overtime thresholds, prep and travel terms) is never public for anyone, regardless of that choice. A producer only sees it when you send it to them, for a specific project.
Who can see what
The public. Anyone, without an account, can read the rate book's aggregate medians and a company's payment/review record. If you've opted in, your public profile, your own rate range, and reviews about you (once revealed) are visible too.
Producers. Only see your full contact details, your detailed rate sheet, or your private review note if you've explicitly shared them, and only in the context of a specific project.
Keylight staff. A small admin surface exists for verifying new applications and reviewing evidence submitted for that purpose. Access is restricted, and a private review note you write is never shared with the person it's about.
We do not sell your data to anyone, for any reason.
Who processes it on our behalf
Three services touch your data as processors, never as owners of it:
- Supabase hosts the database, file storage, and authentication.
- Resend delivers transactional email — sign-in links and notifications. It never receives your rate or booking data, only what's needed to address an email.
- Stripe processes the one-time platform fee a producer pays to unlock sending requests on a project. It never touches your day rate or the payment you're owed for a booking — that stays a direct arrangement between you and the production, tracked here only by the dates you self-report.
How long we keep it
A frozen deal memo is retained for six years, matching the record-keeping requirement under freelance payment protection law. Everything else is kept while your account is active, and deleted on request per below.
Your rights
You can edit or remove most of your profile content directly from your account at any time. For anything else — a full data export, or deleting your account entirely — email privacy@keylightcrews.com. One reply gets it done, same day. If a booking history has to be retained for the legal reason above, we'll tell you exactly what stays and why.
Children
Keylight is for working crew and production companies. It isn't directed at, and isn't knowingly used by, anyone under 18.
Changes to this policy
If this changes in a way that reduces what's protected here, we'll say so plainly, not bury it in a version bump. The “last updated” date at the top always reflects the real one.
